We appreciate your interest and your visit to our website or via our app. At Holdsport.dk ApS (hereinafter simply “Holdsport”), the protection of your privacy is important to us. Below you will find a detailed description of our handling of your data.

Our privacy policy explains the background for how we collect, store and process your data when you visit Holdsport.dk or use the Holdsport.dk app. If you are in doubt or have further questions, please contact our Data Protection Officer (contact information in section 2).
a. Purpose and legal basis for the data processing
The purpose of processing your data is to enable you to use our website seamlessly, to handle your inquiries and to process the agreements entered into with you. The legal basis for the data processing is Article 6(1) of the general EU GDPR.
b. Erasure or blocking of data where appropriate
We only store your personal data for as long as is necessary to achieve the purposes described for the individual measures. When the purpose has been achieved, we delete your data. If the law prescribes additional storage, we delete the data after the statutory period.
c. Rights of access, rectification, erasure, restriction and objection
You have the right at any time to receive information about your personal data that is stored by us. You can also easily retrieve this in your profile settings when you are logged in, e.g. via our website or in the app. If the data stored by us is incorrect, you have the right to have it rectified.
You may at any time request the erasure of your personal data, as long as we no longer need the data for the performance of an agreement with you. The erasure may also conflict with statutory retention requirements. In such case, you have the right to have your data blocked.

d. Complaint
You have the right to lodge a complaint with a supervisory authority for data protection. This can be done to the Danish Data Protection Agency (Datatilsynet). (www.datatilsynet.dk)
e. Encryption
To secure your data during transfer, we use up-to-date TLS encryption (HTTPS). Particularly sensitive information (e.g. payment and account details) as well as backups are additionally stored in encrypted form.
f. Changes to our privacy policy
We will always adapt our privacy policy to applicable legal requirements. Such need for adaptation may also arise because we expand our range of services. If you visit our website again, the new privacy policy applies.

You can visit our website without actively providing information about yourself. We collect the access data sent by your web browser. These are:
b. Storage and deletion
We store access and server log files for up to 14 days for the purposes of operation, troubleshooting and security, after which they are deleted or anonymised. Records of failed login attempts (for protection against misuse) are stored for up to 180 days.
We use so-called "cookies". Cookies are small text files that are transferred from a web server to your hard drive. This automatically provides us with certain data, e.g. IP address, browser, operating system from your computer and your connection to the internet.
Cookies cannot be used to start programs or transfer viruses to a computer. Based on the information in cookies, we can facilitate navigation and enable a correct display of our website.

Consent for non-essential cookies (statistics and marketing) is obtained via our cookie consent solution (Quantcast), and you can change or withdraw your consent at any time. You can also deactivate cookies via the settings in your browser; please note that some functions may then not work.

If you contact us via email or the contact form, we collect and store your information for the purpose of handling the request and any follow-up questions. Inquiries are stored in our support/CRM system for as long as is necessary to handle and follow up on the inquiry as well as for documentation purposes, and are not automatically deleted after a fixed period. You may at any time request that your information in connection with an inquiry be deleted, and we will delete it unless we are legally obliged to retain it.
For the sending of emails, we use Elastic Email (Elastic Email Inc.). Processing takes place on the provider's European servers (Ireland, France and Poland).
In order to ensure fast and precise communication and support of users, we at Holdsport may use automated tools, including OpenAI's ChatGPT and related tools, to analyse and answer inquiries from you when you communicate with us. We use the dialogue with users as a basis for the development of these tools. The dialogue with users is anonymised. As a user, you consent to this use.
a. Registration of data and relationship to user and personal data terms and clubs
When you are registered for use of Holdsport's service, we collect and store personal information such as name, address, telephone number and email address, as well as registration of activities and events, including attendance, payments and the like. Registered users may at any time change or delete the data entered. For further details, please refer to Holdsport's User and Personal Data Terms. These can be found on the website, and as a user you also accept them when you use our services.
As a user affiliated with a club, you have likely also given your consent for the club to use your data, including that they may use and pass it on in connection with services such as Holdsport's. We often perform a number of tasks on behalf of the club. If you have questions in this regard, you should contact your club.
b. Payments.
Membership payments (e.g. membership fees and purchases in the system) are carried out via the payment processors AltaPay, MobilePay and QuickPay (Denmark), Stripe (other countries) as well as SEPA direct debit (Germany). Payment and collection take place in accordance with the club's instructions. Card details are handled by the payment processor; certain payment information (e.g. for recurring collection) may be stored by us in encrypted form.
Clubs' payments for use of Holdsport's service may additionally take place via Betalingsservice/Leverandørservice (Denmark, via FarPay) or Direct Debit via GoCardless (United Kingdom).
Sign-up for our newsletter takes place through the data you enter upon registration on Holdsport.dk. As a registered newsletter subscriber, you will receive our newsletter as well as any related information (e.g. about changes and updates on our platform).
The consent can be withdrawn at any time. Each newsletter contains an unsubscribe link. You may also at any time notify a wish to unsubscribe to our Data Protection Officer (contact information in section 2 above).
Holdsport.dk currently collaborates with hummel and zerv.dk, including in the hummel-(club)shop in the system. We have no other permanent sponsors. These partners may have advertisements on the platform, and emails/push notifications/SMS from Holdsport.dk may contain offers and competitions from them. You can always unsubscribe from these messages from Holdsport.dk.
In addition, the advertising network Krak Media Group is used to manage banner advertisements when you log in to Holdsport.dk or use our app. The advertising network shows advertisements that are assumed to be relevant to you. The advertisements are based on information about your age, gender, sport and postal code. Your personally identifiable information and contact information are never passed on. Since the advertisements are administered by Krak Media Group, Holdsport has no influence over which specific advertisements you are presented with. If you encounter an inappropriate advertisement, you are welcome to contact us.
You can opt out of being included in advertising networks via: http://www.youronlinechoices.com/den/dine-valg. Please note that this does not reduce the number of advertisements, but merely means that you will be presented with random banner advertisements.
In parts of the service — currently in the hummel-(club)shop — we use Google Analytics 4 from Google for statistics, including measurement of purchases, with a view to improving the service. Google may process this information in the USA; transfer takes place on the basis of the EU-US Data Privacy Framework as well as EU Standard Contractual Clauses (SCCs).
In addition, individual clubs may choose to activate Google Analytics on their club pages (CMS) themselves by providing their own Google Analytics ID. In that case, it is the club that is responsible for this processing and for its own Google Analytics subscription.

Facebook login: If you choose to, you can log in with Facebook. At login, the information necessary to create/recognise your account is processed.
Mobile app: In our mobile app, Facebook's SDK is used (for login, among other things). The SDK may send app event data (e.g. app installation and opening) to Meta. Meta may process this information in the USA; transfer takes place on the basis of the EU-US Data Privacy Framework as well as SCCs.
